REPORTS TO: Senior Sales Support Manager
LOCATION: Pointe-Claire (Montréal)

POSITION SUMMARY

As a Key Account Coordinator, you will play a critical role in delivering a seamless and exceptional experience to our key customers and sales partners. You bring a proactive, detail-oriented, and solutions-driven mindset to ensure operational excellence across order management, EDI processes, and account support.

This role is essential in strengthening relationships with major accounts while ensuring accuracy, compliance, and efficiency throughout the order-to-delivery lifecycle.

KEY RESPONSIBILITIES

Responsibilities include, but are not limited to:

  • Manage and follow up on bulk orders for major accounts, ensuring accuracy in pricing, quantities, delivery dates, and shipment details
  • Act as a liaison between sales, product, and operations teams to confirm order accuracy and timely delivery
  • Review and validate incoming customer orders, reconciling them against bulk orders and EDI transmissions
  • Process EDI and non-EDI orders, identify discrepancies, and resolve variances in a timely manner
  • Develop expertise in the TrueCommerce EDI platform to support efficient order processing and troubleshooting
  • Build and maintain strong relationships with key account buyers across multiple departments and product categories
  • Collaborate with the Distribution Centre (DC) team to resolve shipment-related issues
  • Create and maintain EDI customer mappings (SKU synchronization) to ensure accurate data flow
  • Generate and distribute reports for PLMs, sales teams, and key account buyers based on EDI forecasts (weekly)
  • Communicate proactively with sales representatives and buyers regarding purchase order discrepancies, availability issues, or changes
  • Partner with the IT team to resolve system issues and support ongoing process improvements
  • Inform business partners of potential risks such as delays, pricing discrepancies, or inventory shortages
  • Manage key account compliance requirements, including adherence to SLAs (Service Level Agreements) and vendor guidelines
  • Ensure all processes align with customer compliance standards to avoid penalties or chargebacks
  • Investigate and resolve chargebacks, initiating internal reviews as needed
  • Work closely with Value-Added Services (VAS) teams to ensure accurate and up-to-date ticketing and order preparation
  • Submit Advance Shipment Notices (ASN) and monitor transportation booking processes
  • Collaborate with PLMs on price list creation and system uploads
  • Issue pick tickets and labels to the warehouse to support order fulfillment

QUALIFICATIONS & SKILLS

  • Strong attention to detail with a high level of accuracy in order management and data handling
  • Excellent organizational and time management skills, with the ability to manage multiple priorities
  • Strong communication and interpersonal skills, with the ability to build relationships across teams and with external partners
  • Proactive problem-solver with the ability to identify issues and drive resolution
  • Experience with EDI systems (e.g., TrueCommerce, SPS, Orderful) is a strong asset
  • Experience with NetSuite and NuOrder strong assets
  • Excellent EXCEL skills
  • Familiarity with ERP systems and order management processes
  • Ability to work in a fast-paced, deadline-driven environment
  • Strong understanding of customer compliance requirements and vendor guidelines is an asset
  • Team-oriented mindset with a focus on collaboration and continuous improvement
