REPORTS TO: Vice President of IT

LOCATION: Pointe-Claire (Montreal)

POSITION SUMMARY:

We're looking for a motivated IT Systems Administrator who is eager to take ownership of our internal IT operations and grow alongside our business.

This role is ideal for someone early in their IT career who enjoys solving problems, learning new technologies, and taking on projects that make a real impact. You'll have the opportunity to modernize our IT environment while working directly with the VP of IT/IS on strategic initiatives.

This position is based in Montreal and reports directly to the VP of IT/IS.

ESSENTIAL FUNCTIONS:

IT Infrastructure

  • Manage and maintain the company's IT infrastructure, including workstations, printers, networking equipment, wireless access points, and other office technology.
  • Monitor the health and performance of IT systems and proactively resolve issues before they impact users.
  • Assist with planning and implementing infrastructure improvements and technology refreshes.
  • Work with external vendors and service providers when necessary.
  • Maintain documentation for infrastructure, network topology, hardware, and standard operating procedures.

Microsoft 365 Administration

  • Administer Microsoft 365, including:
    • User accounts
    • Exchange Online
    • Microsoft Teams
    • SharePoint
    • OneDrive
    • Security Groups
    • Licensing
  • Improve and maintain Microsoft 365 security and configuration following best practices.
  • Assist in implementing new Microsoft 365 features that improve productivity and security.

User Support

  • Provide Level 1 and Level 2 technical support for employees.
  • Troubleshoot workstation, laptop, printer, browser, peripheral, and software issues.
  • Install, configure, and maintain Windows computers and mobile devices.
  • Manage user access across business systems following established security procedures.
  • Resolve technical issues efficiently while maintaining excellent customer service.

Onboarding & Training

  • Prepare and configure equipment for new employees.
  • Coordinate onboarding activities including account creation, workstation setup, hardware assignment, and software installation.
  • Deliver technology onboarding sessions to new employees.
  • Train users on Microsoft 365, company systems, security best practices, and IT policies.
  • Coordinate offboarding by removing access, recovering equipment, and ensuring security procedures are followed.

Asset & Inventory Management

  • Maintain inventory of all assets.
  • Track hardware lifecycle and warranty information.
  • Recommend equipment replacements and technology upgrades.
  • Coordinate purchasing of IT hardware and software while ensuring inventory levels remain appropriate.

Cybersecurity

  • Administer cybersecurity awareness training for employees.
  • Monitor training completion and compliance.
  • Prepare regular KPI reports showing participation, completion rates, phishing test results, and outstanding training.
  • Assist with phishing simulations and user awareness initiatives.
  • Help maintain IT security policies and best practices.
  • Escalate potential security incidents and coordinate with external security partners when required.

Continuous Improvement

  • Identify opportunities to improve IT processes and user experience.
  • Recommend new technologies that increase efficiency, reliability, and security.
  • Help standardize workstation configurations and deployment procedures.
  • Participate in infrastructure projects, office expansions, and technology rollouts.

IT Governance & Policies

  • Maintain and continuously improve the company's IT policies, standards, and procedures.
  • Ensure technology practices align with company security requirements and industry best practices.
  • Develop and maintain documentation for:
    • IT onboarding and offboarding procedures
    • Equipment standards
    • Acceptable Use Policy
    • Password and authentication standards
    • Device management procedures
    • Software installation and approval processes
    • Backup and recovery procedures
  • Periodically review existing policies and recommend updates as technology and business needs evolve.
  • Assist in internal and external IT audits by maintaining accurate documentation and records.
  • Help ensure compliance with software licensing requirements and company IT standards.
  • Promote consistency across the organization by documenting repeatable processes and communicating policy updates to employees.

SKILLS AND EXPERIENCE:

Required

  • Diploma or degree in Information Technology, Computer Science, Information Systems, or a related field.
  • Strong understanding of Windows and Microsoft 365.
  • Basic networking knowledge (TCP/IP, DNS, DHCP, Wi-Fi).
  • Strong troubleshooting and analytical skills.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities and work independently.
  • A passion for technology and continuous learning.

Preferred

  • Internship, co-op, or personal IT projects.
  • Experience with Microsoft 365 administration.
  • Experience building or supporting computers.
  • Familiarity with Microsoft Entra ID (Azure AD).
  • Experience with scripting (PowerShell or Python).
  • Home lab, certifications, GitHub projects, or technology portfolio.
  • Experience with AI tools to improve productivity and automate repetitive tasks.
